Frequently asked questions

When does EOFY pricing end?

EOFY pricing applies to Orders signed before 30 June 2026. From 1 July 2026, standard pricing applies. EOFY pricing is locked for 24 months from your start date. You keep the EOFY rate for your initial 12-month term and your first 12-month renewal term.

Will Onboard make my practice AUSTRAC-compliant?

Onboard is software and workflow tooling that supports your practice's AML/CTF Tranche 2 preparation. It helps capture relevant data, run structured workflows, and maintain records to support your AML/CTF processes. It does not replace your professional judgement about specific clients, your AML/CTF program decisions, or your obligation to lodge reports with AUSTRAC. Compliance remains the practice's responsibility, supported by Onboard.

How is Onboard different from AML compliance software?

Most AML tools handle one thing, typically identity verification or risk scoring. Onboard is practice management software with AML/CTF workflows built in. You get client onboarding, CRM, email, task management, payments, branded client portal and team workflows alongside your AML/CTF capability. One platform, one login, one source of truth for every client.

How is Onboard hosted?

Onboard runs on your own infrastructure, typically a VPS or cloud instance you procure (we recommend specific providers and configurations during implementation). You control the hosting, security configuration, backups and data location. Bhalekar provides the software, updates, support and workflow templates.

What if I outgrow my plan?

You can upgrade at any time. We will prorate the difference for the remainder of your subscription term. The most common upgrade path is Essentials to Professional when a practice grows past five users, takes on higher-risk clients, or needs phone support and a dedicated account manager.

Do I need the Implementation service?

No. The self-serve setup wizard, knowledge base and video tutorials are designed to help practices begin setup without paid implementation. Implementation services are optional, but many Professional and Enterprise customers choose them because they want hands-on help with configuration, integrations and team training. Solo and Essentials customers can choose either self-serve onboarding or paid implementation depending on their needs.

What is the difference between Solo and Essentials?

Solo is for sole practitioners working alone, with one user, up to 50 clients, basic AML/CTF workflows, self-paced training and email support. Essentials adds multi-user capability (up to 5), KYB workflow for entity clients, full CRM and email client, branded client portal, and Xero/MYOB integration. If you have any staff or contractors, you need Essentials.

What happens when I hit my client or user cap?

We will let you know as you approach 80% of your cap. Most practices upgrade to the next tier when they hit their limit. There is no service interruption. Your existing data and workflows continue exactly as before, you just get more capacity and additional features.

Can I pay monthly instead of annually?

Onboard subscriptions are annual, paid in advance. If your situation requires quarterly billing, we can arrange that as a special term in your Order at a small uplift. Annual prepayment locks your EOFY rate for 24 months, which is the most cost-effective option.

What is included in the $1,499 / $2,500 implementation fee?

A fixed scope of up to 6 hours: kickoff call, configuration and deployment assistance, domain and branding setup, initial user-role configuration, Stripe connection, one smoke test, one handover and runbook, and one training session of up to two hours. If your needs go beyond this scope, we will quote any additional work in writing before we start.

What is the difference between the General Professional Services Rate and the Regulatory Rate?

The General rate ($99/hour) applies to ordinary additional work, including extra training, configuration changes, workflow tweaks, non-urgent remediation. The Regulatory rate ($300/hour) applies to regulatory and legal-process work, such as AUSTRAC or OAIC inquiries, audit support, subpoenas, court orders, witness statements. The two rates exist because regulatory work is a different scope and risk profile from routine technical work.

What happens if AUSTRAC asks me to provide records?

Onboard supports record retention by helping your practice maintain structured records, audit trails and evidence exports in your customer-controlled environment. Your practice remains responsible for ensuring records are retained for the required period and for deciding what information is provided to AUSTRAC or any regulator. If you need Bhalekar's involvement, such as technical explanations, data extraction support or witness statements, that work is charged at the Regulatory Rate.

Can I cancel?

Subscriptions are annual and do not auto-cancel mid-term. At the end of each 12-month term, you can give 30 days written notice of non-renewal. Refunds for partial-term cancellations are governed by clause 3.9 of the Customer Licence Agreement.

What if my practice provides services that are not subject to Tranche 2?

Onboard works as practice management software regardless of your AML/CTF obligations. The AML/CTF workflows are there if and when you need them. The practice management, client onboarding, CRM, email and payment features stand on their own. Many of our Solo and Essentials customers use Onboard primarily for practice management with AML/CTF as a future-proofing layer.
